HomeMy WebLinkAboutResolution No. 1953 RESOLUTION A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DOWNEY AUTHORIZING A 5 YEAR DESTRUCTION OF PERSONNEL DEPARTMENT DEAD FILES WHEREAS, Section 34090 of the Government Code and Section 2 of Resolution 1932 of the City of Downey, authorizes the destruction of records after 5 years with the consent of the City Council and City Attorney, and WHEREAS, the employment records of city personnel are duplicated in the Accounting Division and also summarized on Remington Rand cards which are permanently retained in the Personnel Department (original vacation, sick leave and compensatory time records are retained in each city depart- ment), and WHEREAS, the retention of employment records reaching back ten years is constituting a serious problem, and WHEREAS, the retention of such records following termi- nation does not serve any purpose, and WHEREAS, the City Attorney has consented to this resolu- tion. NOW, THEREFORE, THE CITY COUNCIL OF THE CITY OF DOWNEY DOES RESOLVE AS FOLLOWS: SECTION 1. That all Personnel Department records relating to employment history of an employee may be destroyed after 5 years have elapsed from the date of termination of his em- ployment; provided, however, the Remington Rand summary cards of an employee shall be retained permanently. SECTION 2. The City Clerk shall certify to the adoption of this resolution. APPROVED AND ADOPTED this / day of c 1' , 1967.
